Job Summary: 

Position is responsible for the strategic planning, as well as the assessment and improvement of pre-award processes. Collaborates with the team of Support Center Pre-Award Specialists to develop solutions to customer issues and integrate customer feedback into delivery of service to provide best experience possible. The position will be responsible for ensuring excellent customer service and quality assurance for UT Health San Antonio's Principal Investigators (PIs). This role is critical to supporting and enhancing UT Health SA's sponsored programs mission.

 

Job Duties:

  • Leads and manages pre-award operations by establishing strategic priorities and reviewing business processes related to the identification of sponsors, proposal preparation, budget review, coordinates contract negotiations, and/or project setup.
  • Acts as liaison between PI and the Office of Sponsored Programs (OSP) to communicate and resolve any issues that arise concerning proposal submission, enabling the OSP to conduct a thorough review of the proposal.
  • Recognizes opportunities for more effective sponsored program support across departments/units and actively implements solutions.
  • Manages and oversees implementation of operations and strategic planning to ensure compliance with regulatory requirements within a department/unit.
  • Serves as the primary escalation contact for PIs, OSP, or other members of the sponsored programs community during instances of pre-award service inconsistencies or issues. Assists with ensuring service resolution and proactively mitigating future service issues.
  • Collaborates with various stakeholders, research leadership, principal investigators, and senior leadership to ensure pre-award activities align with UT Health San Antonio’s strategic research mission.
  • Partners with the OSP to ensure coordination of pre-award service and process handoffs occur seamlessly and without interruption.
  • Manages strategic planning initiatives and establishes project objectives to ensure appropriate use of financial, administrative, and/or staffing resources, and alignment with the strategic plan.
  • Guides workflow and processes for departmental/until proposal submissions to ensure highest level of seamless customer support.
  • Assesses administrative processes that create challenges for the research community and plays an active role in recommending and implementing solutions.
  • Collaborates with the support center pre-award team to develop solutions to customer issues; incorporate customer feedback into delivery of service to provide best experience possible.
  • Manages and facilitates service-oriented training and outreach to communicate and advise on policies and procedures related to pre-award administration operations.

 

Job Requirements:

Bachelor's degree required and Five (5) years of pre-award administration experience including two (2) years of supervisory experience is required.
