Job Summary

This is a mission critical position serving the highest level of leadership within the School of Nursing. Under the supervision of the Assistant to the Dean, this position will provide administrative support to the Dean and Vice Deans of the School of Nursing. The mission of the Dean’s office frequently requires responses to short notice executive level requests which require this position to rapidly adapt and realign office priorities and exercise independent judgment.  This position will be directly responsible to maintain executive level calendars. Coordinates meetings and presentations. Welcomes and receives guests into the Dean’s suite. Collects, compiles, and analyzes moderately complex data and information. Composes straightforward and professional written correspondence. Punctuality, reliable, professionalism, tact, discretion, accountability and integrity are a must. The working environment is very dynamic, multi-faceted, fast paced and at times stressful. A successful candidate for this position will be a very organized and flexible team member. Critical thinking skills and the ability to rapidly adapt to changing priorities. 


Job Duties

1. Maintains calendar appointments for the Dean, Vice Deans and other executive members as needed. Directly responsible for managing and coordinating a centralized office calendar to ensure business continuity operations. Coordination of calendaring appointments with internal and external customers require the highest level of customer service, tact and professionalism. This position will act as the back-up to the Assistant to the Dean during periods where the Assistant needs to be out of the office


2. Administratively supports the Dean’s office which will include but not limited to: making copies, maintaining file plans, answering phones, greeting guest to the Dean’s Office, faxing, mailing documents, writing executive level correspondence, basic level research for presentations, travel and reimbursement processing, preparing meeting minutes, following up on meeting agenda items and cleaning up the break room/conference room.


3. Event planning and special projects for the Dean and Vice Deans will include but is not limited to catering orders, venue set-up, designing presentation, itinerary planning, travel planning for guest speakers and small amounts of public speaking.


4. Other duties as determined by business operations and mission needs as directed by leadership. This can include but is not limited to: attendance at off campus events such as luncheons and donor events, campus wellness activities, reoccurring annual events (Nurses week, State of the School, New Faculty Orientation, New Student Orientation, Graduation, Nursing Advisory Council Events).


Bachelors degree or relevant work experience in lieu of education.

Five (5) years of administrative experience. 


Preferred Qualifications:

Five (5) years of executive level administrative support in a fast paced dynamic work environment.  

Master’s degree in Administration or other related field.
