Job Summary:
The Executive Assistant will primarily support the Vice Dean for Inclusion and Diversity and Chief Diversity Officer at the UT Health San Antonio Long School of Medicine, and leaders within the Dean’s Executive Suite. Reporting directly to the Vice Dean for Inclusion and Diversity, this position will carry out high level day-to-day clerical duties required to effectively manage the Vice Dean’s schedule and office suite. The Executive Assistant must exhibit sensitivity to the position as a role model for the Long School of Medicine and a representative of UT Health San Antonio's mission, values and goals. This position represents the Dean's Executive Suite, both internally and externally.  

 

Job Duties:

1.  Accurately schedule meetings and maintain daily and long-term calendars Greets visitors, answers inquiries and refers all visitors and inquiries to appropriate resource. Answers incoming calls, routes calls to appropriate staff members, and/or takes accurate and detailed phone messages.

2.  Maintains events sponsored by the Office for Inclusion and Diversity which includes set-up, audio-visual equipment, VTEL, catering and other resources as needed. Manages internal/external meeting logistics and take appropriate actions as needed to ensure successful outcomes. Arranges meetings, conferences and workshops, prepares agendas, and takes minutes for those meetings. Serves as administrative liaison and resource to departments and offices within the institution regarding policies and procedures.

3.  Prepares and submits departmental requisitions, service request forms, travel requisitions & travel reimbursements, payment vouchers for vendors and staff. Maintains professional memberships of various organizations. Assists with data management/record maintenance. Maintains confidential files, including formation and maintenance of files.

4.  Types and edits confidential and/or complex documents, forms, reports, correspondences, and other special projects. Assists with preparation and proofing of materials for meetings, workshops and training.

5.  Other duties as assigned.

Education:
Bachelor's degree in related field. 

Experience:
Five (5) years of related experience.
