Job Summary:

Under general supervision, responsible for providing professional administrative support in the performance of various complex administrative duties while directing or coordinating daily operations of office and/or program(s).

Job Duties:

  1. Directs and oversees daily operations of office and/or program.
  2. Compiles data, statistics and other information and materials for meetings, lectures, or events.
  3. Handles department chairperson’s correspondence, travel arrangements, committee agendas, filing, calendar, and mail.
  4. Advises on policy, procedural and operational issues.
  5. Independently composes, edits correspondence, devises course of action and independently responds to faculty-staff.
  6. Serves as staff and resource designee and acts as liaison between faculty, staff, and Chair Offices.
  7. Manages calendar by scheduling appointments, designated activities, and research.
  8. Acts as liaison with internal and external groups/offices/ constituents.
  9. Provides support to various departmental committees related to promotion-tenure of faculty, faculty mid-probationary review, post-tenure evaluation, tracking changes and appropriateness reviews with minimum faculty consultation, and prepares and distributes meeting minutes.
  10. Composes correspondence for Chair/Executive level equivalent signature.
  11. Reviews and edits draft publications and other written documents.
  12. Assists with event planning and performs special projects as assigned.
  13. Performs all other duties as assigned.

Knowledge, Skills and Abilities

  • Knowledge in office management and administrative practices and procedures.
  • Knowledge in academic department in an institution of higher education is a plus.
  • Knowledge of record retention regulations and ability to maintain confidentiality.
  • Proficiency in relevant software such as Microsoft Office Suite.
  • Ability to effectively communicate verbally and in writing, to include writing and preparing memorandums, letters, and other official correspondence.
  • Excellent time management and organizational skills.
  • Excellent interpersonal skills and demonstrated poise and professionalism.


Bachelor’s degree in related field is required.


Five (5) years related experience is required.

Previous J-1 or H-1B visa processing experience strongly preferred.
