Job Summary:

In collaboration with the Clerkship Director and Associate Clerkship Director, coordinates the Pediatric Clerkship for third-year medical students. Serves as the point of contact for students to the clerkship. Under direct supervision, responsible for providing administrative support for the department's academic mission while ensuring compliance with standards set by internal and external regulating bodies. Facilitates and coordinates various academic activities, maintains records, databases, provides curriculum information, manages the application process, and maintains documentation for continued accreditation. May work in coordination with the Program Director and serve as a primary resource for students, faculty, and residents.


Job Duties:

  • Responsible for student scheduling, setting up online evaluations and course materials, calculating grades, editing comments, and ordering and proctoring exams.
  • Facilitates and coordinates academic programs, conferences, and schedules.
  • Schedules rotations with faculty and staff. Arranges travel for clerkship.
  • Maintains records and databases for all clerkship-related materials and the coordination of rotations, evaluations, and grading for students.
  • Oversees and coordinates student registration, class schedules, room reservations, teaching materials, grade reporting, and scheduling exams.
  • Coordinates weekly meetings including room reservations, food, speakers, and sign-in sheets.
  • Performs all other duties as assigned.



  • An Associate's degree is required.




  • Five (5) years of related experience coordinating programs is required; may require specific experience in curriculum development.
  • Working knowledge of Microsoft Office Word, Excel, PowerPoint, with knowledge of Canvas one45, and PeopleSoft.
  • Must possess excellent oral and written communication skills with the ability to correct grammar in documents.
  • Must be organized and forward-thinking with an aptitude for planning ahead and anticipating upcoming responsibilities.
